Sourcing Specialist
Reports to: Director, Sourcing & Business Development
Role Description
We are seeking a detail-oriented and resourceful professional to join our team as a Sourcing Specialist. This role is responsible for sourcing venues, managing vendor relationships, and supporting the development of compelling proposals and costings for client programs. The ideal candidate is a strong communicator, highly organized, and thrives in a fast-paced, collaborative environment.
Major Responsibilities:
- Contribute to the development of world-class incentive travel programs with an emphasis on creativity, and high quality standards.
- Provide an end-to-end venue sourcing service – including understanding and collaborating with the client to shape the brief, sourcing of suitable hotels, venues, and locations, negotiation of rates and other contractual terms.
- Initiate and manage RFPs via Cvent, in collaboration with the Director of Sourcing & Business Development or Travel Program Managers (TPMs).
- Support the creation of client-facing proposals, working closely with senior leadership and the Marketing and Communications teams.
- Develop detailed proformas and costings to support client proposals.
- Uncover new properties and destinations through proactive research and industry networking.
- Attend industry events, trade shows, and familiarization (FAM) trips to stay current on trends and build supplier relationships.
- Maintain strong relationships with hotel National Sales Offices (NSOs), Destination Management Companies (DMCs), and other vendor partners.
- Review and negotiate venue contracts and client addenda for accuracy, in collaboration with the Director of Travel Operations
- Source and recommend unique gifting experiences aligned with client goals and program themes.
- Deliver monthly team presentations on hotel openings, renovations, and other industry developments.
- Maintain and update the supplier database, including hotels, cruises, DMCs, and gifting partners.
- Provide support for special departmental projects as schedule permits.
- Offer onsite operational support for program as schedule permits.
Required Skills, Knowledge and Intangibles
- 3+ years experience in sourcing or events industry, end-to-end knowledge of incentives preferred.
- Previous agency experience highly preferred.
- Four-year college degree.
- Keen eye for accuracy of RFP responses, including dates, function space, and pricing.
- Ability to manage multiple projects and deadlines simultaneously.
- Familiarity with Cvent or similar sourcing platforms.
- Strong knowledge of MS Office Suite, especially Excel and PowerPoint.
- Self-motivated, well organized collaborative workstyle with a sense of urgency and strong appetite for quality results.
- Thoughtful innovator who is comfortable working with any level of teammate.
- Willingness to travel occasionally for site visits and industry events.

Work Environment
- NJ/NY Metro/PA candidates preferred.
- This is a remote position, with one pre-scheduled day per month required in our New Brunswick office.

Salary Range
- $65,000-$72,000 plus benefits
- This position is “exempt” and therefore not subject to paid overtime.
